Booking Terms v1.2 · Published 23 October 2026
Your booking terms
The important things to know before confirming your Verta booking.
Before you pay
Read your event-specific quote, this summary and the full General Booking Terms and applicable Package Schedule before paying. Keep a copy for your records. Your accepted quote and agreed written variations control your booking; later changes do not apply automatically.
The usual booking deposit is 20%, credited towards your total. Cancellation does not automatically mean losing the deposit: the cancellation provisions and your consumer rights apply. Ask us about anything unclear before proceeding.
Confirming your booking
- A quote is valid for 14 days unless stated otherwise. Prices are in Australian dollars.
- Your date is secured after quote and terms acceptance, cleared deposit and our written confirmation. Submitting a form alone does not secure it.
Payment and your forms
- The usual deposit is 20% of your booking total, credited towards the price. The balance is due seven calendar days before your event, unless your Booking Summary states otherwise. For the standard deposit, PayID/bank transfer is preferred and card is available at the same amount; the final balance is by PayID/bank transfer. Previously agreed rights and expressly approved package-specific arrangements remain.
- Your initial form checks booking essentials, including venue access start and end and setup/collection preferences. Use “Not sure yet” where needed.
- For Dry Bar, Bar Tab and All-Inclusive, you can start Finalise your event details straight afterwards or save it for later. Starting now is optional; final details are due at least seven days before the event. Your form shows the deadline. Bartender Service only needs another form where extra planning is required.
- Final guest numbers, drinks choices, service times, access and dietary requirements are due by that deadline. Reductions after the final-count deadline do not reduce the price. Dry Bar and Controlled Bar Tab retain the fixed attendance band in the accepted quote; attendance outside it requires written review. Increases or other changes need written approval and may affect costs or availability.
Glassware and equipment
Missing or broken Verta glasses: $15 per glass. You are responsible for loss or damage caused by you, your venue or guests, excluding fair wear or damage caused by Verta. Other equipment uses reasonable evidenced repair/replacement costs. Verified charges are invoiced after the event.
Your package
Only your accepted package and extras apply, including the respective Simple or Cocktail menu.
- Bartender Service: up to two cocktail choices. You supply the bar area, alcohol, mixers, ingredients, garnishes, cooling and glassware, except quoted Verta add-ons.
- BYO / Dry Bar: up to three cocktail choices. You supply all drinks and cocktail ingredients, including alcohol, liqueurs, mixers, syrups, juices and garnishes. We supply agreed staff, bar equipment, standard glassware, ice, eskies, water jugs and service consumables. You provide tap or purchased water. Quoted exceptions apply.
- Bar Tab: operations fee and minimum beverage spend are separate. Unused minimum spend is not refunded, credited or carried forward, subject to consumer rights. Further spending needs your authorised contact’s approval. There is no fee for adding drinks credit on the day. You may choose guest-paid drinks after the tab is finished within your contracted service hours. An agreed guest-paid opening period remains separate from the hosted credit. Client-supplied stock is recorded separately and is not charged to the tab or guests without an explicit agreed charging basis. Drinks are charged once; extra credit does not extend service hours.
- All-Inclusive: your quoted menu, final guest count and service hours apply, subject to RSA. This does not mean unlimited alcohol per person. Unused Verta stock stays with Verta.
- Custom packages and staff extras: the quote sets duties, inclusions, hours, approvals and supplier commitments.
Cocktail and mocktail choices
New Cocktail Bar Tab and Cocktail All-Inclusive quotes allow up to four primary cocktail/mocktail choices combined, plus one eligible matched mocktail associated with a selected marked cocktail. Standalone mocktails use a primary slot. Only eligible tested matches are included. Your earlier issued allowance remains unless you agree to a written change.
Venue access and safe service
- Provide safe setup/pack-down access, a level bar area (about 6 ft × 8 ft), sink access and lighting. Tell us about stairs, loading restrictions, venue rules and closing times.
- Provide legal parking for one Verta vehicle. Without complimentary parking, reasonable verified parking costs apply.
- Outdoor bars need a safe covered alternative for unsafe weather.
- Alcohol service follows liquor rules and Responsible Service of Alcohol requirements. We may check ID, refuse drinks or pause/stop service for legal or safety reasons.
Catering through our food partner
Catering is available through our food partner as an add-on to a Verta bar booking, subject to availability. Your quote confirms the menu, quantities, service and price.
Tell us about dietary/allergen needs before finalising details. We confirm accepted requirements with the caterer; a completely allergen-free environment cannot be guaranteed.
Changes and cancellation
Request changes or cancellation in writing. One postponement may be requested with at least 30 days’ notice, to a date within 12 months, subject to availability, changed prices and disclosed non-recoverable costs.
| Written notice before your event | Maximum |
|---|---|
| 61 days or more | 10% |
| 31–60 days | 20% |
| 15–30 days | 50% |
| 14 days or fewer | 100% |
The charge is the lower of that maximum and our reasonable loss, allowing for avoided costs, supplier recoveries and reasonable rebooking efforts. Payments count towards it; excess is refunded.
If disruption makes service unlawful, impossible or unsafe, we seek a practical alternative or postponement; refunds follow applicable law. If we cannot deliver and you decline a reasonable alternative, we refund the unprovided service and honour additional legal remedies.
Your Australian Consumer Law rights are unaffected.

VERTA EVENTS | GENERAL BOOKING TERMS VERTA EVENTS General Booking Terms and Package Schedules CURRENT BOOKING TERMS v1.2 — CLIENT WORDING UPDATE Version 1.2 - Active Supplier VERTA Events ABN 47 579 425 091 Contact info@vertaevents.com.au Licence Renewable limited licence 36173712, subject to current conditions and renewal Price basis Australian dollars; the Booking Summary states the total price and agreed charges. These terms cover VERTA's current mobile-bar services and quoted extras. Read them with your accepted Booking Summary, Client Key Booking Information and selected Package Schedule. Only the version accepted for your booking and later agreed written variations apply. VERTA supplies standard bartending tools in each bar package. Any Custom Package equipment variation must be identified in the accepted Booking Summary. ________________
General Booking Terms 1. How the agreement works 1.1 The agreement between VERTA and the person or organisation making the booking (the Client) consists of: * the accepted quote or booking summary (Booking Summary); * these General Booking Terms; * the Package Schedule identified in the Booking Summary; * any optional-extra schedule, approved variation or bar-tab extension expressly incorporated in writing. 1.2 The Booking Summary takes priority for event-specific facts such as the date, venue, package, guest count, service times, inclusions and price. These General Booking Terms take priority for legal and operational rules unless the Booking Summary clearly identifies and accepts a variation. A bespoke scope in a Custom Package takes priority only for the particular item it addresses. 1.3 The agreement is the entire agreement about the booking. It replaces earlier discussions and proposals about the same booking, but does not exclude information or promises that the law treats as binding. 1.4 A person accepting on behalf of a company, organisation or other person confirms that they are at least 18 years old and have authority to bind that party. 2. Quotes and confirming a booking 2.1 A quote is valid for 14 days unless it states another expiry date. A quote is an offer only and does not reserve the event date. 2.2 A booking is confirmed only when: * the Client accepts the quote and these terms; * VERTA receives the required booking deposit; and * VERTA issues written confirmation. Unless the Booking Summary expressly requires a separate signed acceptance step, payment of the quote-linked booking deposit after VERTA has supplied the quote/Booking Summary and these terms may evidence the Client’s acceptance of that quoted booking and these terms. Completion of a separate booking form is not a condition of securing the date where the quoted scope, customer identity, payment and legal/availability position remain clear and uncontested. 2.3 Until written confirmation is issued, VERTA may accept another booking for the date. 2.4 The standard booking deposit is 20% of the total price unless the Booking Summary states otherwise. Customer-facing references to “booking payment” mean this booking deposit; the terms are synonyms for the same part-payment, not separate charges. It is a part-payment and is applied to the total price. Unless the Booking Summary states otherwise, the booking deposit is due seven calendar days after VERTA sends the deposit invoice. Its treatment following cancellation or postponement is governed by clauses 13 and 14. 2.5 Your initial booking form checks contact, event and venue details, including when access begins and ends and preferred setup/collection windows. For BYO / Dry Bar, Bar Tab and All-Inclusive, you may start Finalise your event details immediately after the initial form or save it and return later. Starting now is optional; final details remain due under clause 5.4. Straightforward Bartender Service does not require a second form unless additional planning is needed. A saved form does not secure a date or change the accepted quote. Material changes require written approval under clauses 4 and 5. 3. Prices and payment 3.1 The Client must pay the amounts shown in the Booking Summary by their due dates. Unless otherwise stated, the balance is due seven days before the Event. 3.2 All prices are in Australian dollars. The Booking Summary states the total booking price and any agreed additional charges. 3.3 If the Booking Summary expressly offers a cash discount for a private booking, the discount is 5% of the remaining 80% balance only and applies only if that discounted remainder is paid in cash when VERTA arrives for setup. It is unavailable for corporate bookings, does not change the 20% booking deposit, and VERTA will issue a receipt. If the condition is not met, the undiscounted remaining balance is payable. 3.4 Consumer-facing prices are total prices. Any unavoidable fee that can be calculated when the price is stated will be included or displayed just as prominently. Optional extras and variable costs that cannot yet be calculated will be disclosed before the Client commits to them. 3.5 Any card surcharge will not exceed VERTA's cost of accepting that payment method. A payment method without a surcharge will be available. 3.6 If an amount is overdue, VERTA may give written notice requiring payment. If the Client does not remedy material non-payment within the time stated in that notice, and the time allowed is reasonable in the circumstances, VERTA may suspend purchasing or preparation, withhold service, or cancel the booking. The cancellation provisions then apply to the extent the non-payment caused VERTA loss. 3.7 The Client must pay reasonable, evidenced external recovery costs caused by its failure to pay an undisputed amount, to the extent permitted by law. VERTA does not charge punitive weekly interest. 4. Event information and Client responsibilities 4.1 The Client must provide accurate and complete information about the Event, including: * occasion, date, start time and service duration; * venue and suburb; * estimated and final total attendance; any voluntarily supplied non-drinker or under-18 split is recorded separately and cannot reduce an applied count without Josh-approved manual review; * whether the Event is private, corporate, ticketed or open to the public; * whether the venue or relevant area is already licensed for liquor; * whether alcohol is sold, included in an admission price, or provided without separate charge; * indoor or outdoor service, access, facilities and restrictions; * known hazards, venue rules and other suppliers that may affect VERTA's work. 4.2 The Client must promptly tell VERTA if any of that information changes. VERTA may change the scope, staffing, price or licensing arrangements, or decline an unworkable or unlawful change. 4.3 The Client is responsible for venue consent and the permits, approvals and permissions within the Client's control. VERTA is responsible for the licences and legal obligations within VERTA's control. 5. Guest count and final details 5.1 The final billable guest count is due seven days before the Event. It cannot be less than any minimum stated in the Booking Summary. 5.2 If no final count is provided by the deadline, the latest count held by VERTA becomes the billable count. 5.3 A reduction after the deadline does not reduce the price. An increase requires VERTA's written approval, sufficient operational capacity and payment at the applicable quoted or variation rate. 5.4 Complete your final event details no later than seven calendar days before the Event. For packages using Finalise your event details, complete that form by the deadline displayed. Confirm menu selections, dietary/allergen requirements, service times, venue access start and end, setup/collection arrangements and other required operational details. A later change applies only with VERTA's written approval and may affect price, staffing, stock or feasibility. 5.5 A requested change may affect price, staffing, stock, service duration or feasibility. It is effective only when VERTA confirms it in writing. VERTA will disclose the price or calculation method before accepting a chargeable variation where reasonably practicable. 5.6 For BYO / Dry Bar and Controlled Bar Tab, attendance may vary by up to ten guests below or ten guests above the original quoted estimate without changing the quoted customer price solely because of that attendance change. The original estimate remains the pricing basis and the band does not reset after each attendance update. An exact final headcount is not required while attendance remains within the band. Attendance outside the band requires written quote, staffing and stock review before confirmation. For Bartender Service, a proposal may show an approximate planning range of ten guests below to ten guests above the current estimate; that range is planning flexibility only and final pricing follows the applicable billable count and Booking Summary. All-Inclusive proposals use the specific quoted guest count and do not use the ±10 range. The fixed-price attendance rule qualifies clauses 5.1–5.5 for BYO / Dry Bar and Controlled Bar Tab only; separate scope or duration changes and authorised Bar Tab extensions remain governed by their applicable terms. 6. Venue, access and facilities 6.1 Unless the Booking Summary states otherwise, the Client must provide: * safe and timely access for setup, service and pack-down; * a level bar area of approximately 6 ft by 8 ft; * reasonable access to a functioning sink; * one suitable legal parking space for one VERTA vehicle for setup, service and pack-down, as close as reasonably practicable to the service area and suitable for moving equipment safely; if that space is not complimentary, the Client must reimburse VERTA's verified paid-parking cost for that one vehicle; * accurate information about stairs, lifts, loading distance, access windows, curfews and noise restrictions; * a safe, covered alternative for outdoor service if weather may make the original area unsafe; * reasonable lighting and a safe path for staff moving equipment. 6.2 A dishwasher is helpful but not essential. VERTA does not require venue power or refrigeration unless the Booking Summary says otherwise. 6.3 If suitable complimentary parking for one VERTA vehicle is not provided, the Client must reimburse VERTA for the reasonable verified paid-parking cost for that one vehicle. Where that parking cost is known before the Event, VERTA will disclose it where reasonably practicable. Where the actual parking cost cannot be confirmed until the Event, VERTA may invoice the verified actual amount after the Event and it is payable within seven days. Tolls are VERTA's responsibility and are not recharged to the Client. Any separate venue-imposed access charge is payable by the Client only if it is disclosed and agreed in writing before it is incurred, where reasonably practicable. 6.4 The Client must keep guests and unauthorised suppliers away from VERTA-controlled alcohol, equipment and staff-only work areas. 7. Setup, service and pack-down 7.1 Bartender Service requires at least 45 minutes of setup access before service. A full mobile-bar setup generally requires 90 to 180 minutes. That duration is not a promise of a specific arrival time. Depending on VERTA’s event schedule and the venue’s access, security and safe storage arrangements, setup may be scheduled earlier on the event day, including early morning, or by written agreement on the previous day. The exact setup/access window will be confirmed later in the Booking Summary or event plan. Pack-down may require up to two hours. 7.2 The Client must ensure that the venue permits access for the required setup and pack-down periods. Service time is not extended automatically because access was late or restricted. 7.3 If an undisclosed access issue or delay caused by the Client, venue or another supplier affects the work, VERTA will take reasonable steps to reduce the impact. Service time may be reduced or reasonable additional charges may apply where the impact could not reasonably be avoided. 7.4 VERTA removes its equipment and ordinary waste created directly by bar operations only to the extent stated in the Booking Summary. General Event rubbish removal is not included. 8. Staffing and subcontractors 8.1 VERTA determines the reasonable number and allocation of staff needed to provide the agreed service, subject to any staffing commitment in the Booking Summary. 8.2 VERTA may replace an individual worker or use a suitably qualified employee or subcontractor. VERTA remains responsible for providing the contracted service. 8.3 A change of individual staff member is not a material change to the agreement unless the Booking Summary expressly names that person as an essential part of the service. 9. Liquor licensing and Responsible Service of Alcohol 9.1 Alcohol service is always subject to applicable law, the conditions of the licence or authority being used, venue rules and Responsible Service of Alcohol (RSA) requirements. 9.2 VERTA's current renewable limited licence is issued up to and including 31 December 2026 and remains subject to renewal. It authorises liquor supply only at qualifying pre-booked functions attended by the booking party and its guests. It does not authorise supply at public events attended by the general public. It also does not authorise VERTA to supply liquor at premises that are already licensed, at premises where a licence recently ceased or was suspended, or while a licence application for the premises is under consideration. 9.3 If the Event is at a licensed venue, or falls outside VERTA's current licence conditions, alcohol service is conditional on VERTA and the venue confirming a lawful arrangement. This may require the venue to supply the liquor under its licence, a change to the service model, another approval or a separate licence or permit. VERTA will not supply liquor where it cannot lawfully do so. 9.4 The Client must not change a private Event into a public, ticketed or materially different Event without VERTA's prior written approval. 9.5 VERTA may: * request approved evidence of age; * refuse alcohol service to a minor, intoxicated person or any person who cannot lawfully be served; * restrict drink types, quantities or service pace; * provide water or encourage food consumption; * pause or stop liquor service where reasonably required by law, licence conditions or safety. 9.6 An RSA decision by VERTA staff cannot be overridden by the Client, a guest or a venue representative. Guests must not access or self-serve from VERTA-controlled alcohol. 9.7 A package description, prepaid amount or extension never guarantees service to a particular person. All Inclusive means that the agreed menu is available for the booked group during the agreed service period, subject to the locked guest count, reasonable stock planning and RSA. It does not mean unlimited alcohol for an individual guest. 9.8 If service is restricted or stopped because of a legal or safety issue caused by the Client, venue or guests, this does not automatically create a refund. Any amount payable or refundable will be assessed under the agreement and applicable law, having regard to service already provided, committed costs, avoided costs and each party's contribution to the issue. 10. Overtime and service extensions 10.1 Service ends at the time in the Booking Summary unless an extension is approved. 10.2 An extension is effective only when a representative authorised by the Client requests it and the VERTA Event Manager accepts it. Approval depends on staff availability, venue rules, stock, licence conditions, safety and payment authorisation. 10.3 The Booking Summary must state the extension rate or calculation method. A Bar Tab or minimum beverage spend may also require a separate extension authorisation under Schedule C. 11. Client-supplied items, allergies and food 11.1 The Client is responsible for the legality, quality, quantity, storage and suitability of any alcohol, mixers, garnishes, ice, food, equipment or other item it must supply. 11.2 A VERTA shopping or quantity guide is planning guidance based on the information supplied. It is not a guarantee that Client-supplied stock will meet actual demand. 11.3 The Client must disclose known dietary and allergen requirements by the deadline in the Booking Summary. VERTA will provide available ingredient information and take reasonable care with accepted requirements. 11.4 VERTA cannot guarantee a completely allergen-free environment where manufacturers, the venue, other suppliers or Client-supplied products are involved. 11.5 Catering is available through VERTA's food catering partner as an add-on to a VERTA bar booking, subject to confirmed availability and supplier requirements. The Booking Summary identifies the menu, quantities, delivery/service, staffing, price, dietary requirements accepted by the caterer and any earlier supplier deadline. Where VERTA sells the catering add-on, VERTA arranges and pays the caterer, includes it in the VERTA booking and invoice, and remains accountable to the Client for the contracted service. The caterer is responsible for its food preparation, food safety, permits, allergen information and insurance. If a supplier is only referred for a direct Client booking, that separate contracting/payment arrangement and applicable supplier terms must be clearly identified before commitment. Nothing in this clause excludes the Client's rights under clause 19. 12. Equipment, glassware, loss and damage 12.1 VERTA equipment remains VERTA's property. Client-supplied property remains the Client's property unless the parties agree otherwise in writing. 12.2 The Client is responsible for loss of or damage to VERTA equipment caused by the Client, venue or guests, excluding fair wear and tear and loss or damage caused by VERTA. 12.3 Each missing or broken hired glass is charged at $15 per glass. Other equipment is charged at the reasonable evidenced cost of repair or replacement, allowing for condition and fair wear where appropriate. 12.4 VERTA may invoice for verified loss or damage after the Event. A refundable security bond will apply only if identified in the Booking Summary for an unusually large or higher-risk hire. 13. Cancellation by the Client 13.1 The Client must cancel in writing. The effective date is when VERTA receives the notice. 13.2 The maximum cancellation charge is: Written notice before the Event Maximum charge 61 days or more 10% of the total booking price 31 to 60 days 20% of the total booking price 15 to 30 days 50% of the total booking price 14 days or fewer 100% of the total booking price
13.3 The actual cancellation charge is the lesser of: * the maximum above; and * VERTA's reasonable loss caused by the cancellation after reasonable steps to reduce that loss. 13.4 Reasonable loss may include planning and work already completed, non-recoverable supplier commitments, reasonable staff cancellation costs, custom items, stock that cannot reasonably be reused, and lost profit where the date could not reasonably be rebooked. VERTA will credit avoided costs, supplier recoveries and revenue obtained by reasonably rebooking the released capacity. 13.5 The cancellation charge will never exceed the total booking price. Amounts already paid are applied to it. VERTA will provide a reasonable explanation of the calculation on request and promptly refund any amount paid above the charge. 13.6 This clause does not limit any right or remedy that cannot lawfully be excluded. 14. Postponement and date changes 14.1 The Client may request one postponement by giving at least 30 days' written notice. 14.2 The replacement Event must occur within 12 months of the original date and is subject to VERTA's availability. VERTA is not required to displace another booking. 14.3 Payments transfer to the replacement date after deducting disclosed non-recoverable costs already incurred. The Client must pay reasonable additional costs and any price change caused by the new date, location, scope, supplier pricing or public-holiday rates. 14.4 A request made fewer than 30 days before the Event is dealt with under the cancellation provisions unless VERTA agrees otherwise in writing. 14.5 A second date-change request is treated as a cancellation unless VERTA agrees otherwise. 15. Weather and circumstances outside reasonable control 15.1 Each party must take reasonable steps to reduce disruption caused by severe weather, emergency, government action, venue closure, transport disruption, natural disaster or another circumstance outside that party's reasonable control. 15.2 VERTA may pause, relocate or change safe working methods, or make a reasonably equivalent substitution, where reasonably necessary to continue lawfully and safely. 15.3 If performance becomes unlawful, impossible or unsafe, the parties will first try in good faith to agree a practical substitute or postponement. 15.4 If no solution is agreed, the amount payable or refundable will be determined under applicable law, considering services already provided, work performed, costs that are recoverable or non-recoverable, avoided costs and the parties' reasonable efforts to reduce loss. VERTA does not automatically retain every payment regardless of the cause. 16. Safety and guest conduct 16.1 The Client must provide and maintain a workplace reasonably free from violence, threats, harassment, unsafe crowd behaviour and unlawful activity. 16.2 VERTA may warn the Client or venue and may pause, relocate or stop affected services where reasonably necessary for law or safety. A warning is not required where there is an immediate risk. 16.3 If the issue was caused by the Client, venue or guests, the Client remains responsible for services already provided, committed costs and reasonable loss caused by the issue, subject to applicable law and reduced to the extent VERTA contributed. 16.4 Security is required only where stated in the Booking Summary, required by the venue or licence conditions, or reasonably identified through the Event risk assessment. 17. If VERTA cannot provide the service 17.1 VERTA may offer suitably qualified replacement personnel, a reasonable substitute service or a new date. 17.2 If VERTA cannot provide the agreed service and the Client does not accept a reasonable substitute or reschedule, VERTA will refund amounts paid for the unprovided service and comply with any additional remedy required by law. 17.3 VERTA does not have an unrestricted right to cancel merely because it no longer prefers to perform the booking. 18. Third-party suppliers, custom work and intellectual property 18.1 The Booking Summary identifies whether VERTA supplies an add-on as part of its contract or refers the Client for a separate direct supplier booking. Catering sold by VERTA follows clause 11.5; a direct referral is identified explicitly. No supplier availability, menu or price is committed until confirmed in the accepted Booking Summary. 18.2 Custom fabrication, printing, branding and specialist items may require earlier approval and a separately identified payment for non-recoverable external commitments once ordered. 18.3 The Client confirms that it has permission to provide any logo, artwork, name, image or other material supplied for the Event. The Client permits VERTA and its suppliers to use that material only as reasonably required to produce the approved Event items. 18.4 The Client is responsible for third-party claims caused by material it supplied, except to the extent VERTA caused or contributed to the claim. 19. Liability and Australian Consumer Law 19.1 Nothing in the agreement excludes, restricts or modifies a consumer guarantee, right or remedy that cannot lawfully be excluded, including under the Australian Consumer Law. 19.2 Each party must take reasonable steps to avoid or reduce loss. 19.3 To the extent permitted by law, neither party is responsible to the other for indirect or consequential loss that was not reasonably foreseeable when the agreement was made. This does not exclude liability for personal injury, property damage, fraud, wilful misconduct, negligence, or a liability or remedy that cannot lawfully be excluded. 19.4 The Client is responsible for loss reasonably caused by the Client's breach, negligence, unlawful act, inaccurate Event information, Client-supplied materials or the conduct of the Client's guests, reduced to the extent VERTA or another person contributed to the loss. 19.5 Nothing in this clause requires the Client to compensate VERTA for loss caused by VERTA's breach, negligence or unlawful act. 20. Complaints and disputes 20.1 A party should raise a concern promptly and provide reasonable supporting information so it can be investigated. 20.2 The parties will first try in good faith to resolve the dispute by discussion between people authorised to settle it. 20.3 If the dispute is not resolved, either party may propose mediation in Victoria before starting court proceedings. This does not prevent urgent relief, recovery of an undisputed debt, a complaint to a regulator, or use of a statutory consumer remedy. 21. Notices, changes and general provisions 21.1 Formal notices to VERTA must be sent to info@vertaevents.com.au. A postal notice may instead be sent to the current address stated in the latest Booking Summary or invoice. Notices to the Client will be sent to the email or postal address in the booking record. 21.2 A notice is effective when received. A party must promptly tell the other if its contact details change. 21.3 A variation to a confirmed booking must be agreed in writing by authorised representatives of both parties. A failure to enforce a term once is not a waiver of that term. 21.4 The Client may not transfer the booking to another person, event or date without VERTA's written approval. VERTA may use employees and subcontractors as allowed by clause 8 but remains responsible for the contracted service. 21.5 If part of the agreement is invalid or unenforceable, it is read down to the minimum extent necessary or severed. The remainder continues. 21.6 These terms do not create a partnership, employment relationship or agency between VERTA and the Client. 21.7 Victorian law governs the agreement. The parties submit to the courts and tribunals that have jurisdiction in Victoria, subject to any right that cannot lawfully be restricted. 21.8 A later version of VERTA's standard terms does not change a confirmed booking unless the parties agree in writing. The version accepted with the booking continues to apply. ________________
Schedule A — Bartender Service Where the Booking Summary expressly identifies an approved topless bartender presentation, Schedule A and the Bartender Service price structure continue to apply; no separate topless surcharge applies. Entertainment duties, games, guest contact or any expanded role are excluded unless the Booking Summary expressly includes them. A1. What VERTA supplies VERTA supplies the contracted bartenders and the essential bar tools or equipment listed in the Booking Summary. The standard bartending kit for the agreed menu includes a small serrated citrus knife, a washable cutting board and a fitted blade guard for storage and transport. A peeler is brought when the confirmed menu requires it. Where the Booking Summary includes VERTA-supplied ice, quantity is calculated from total attendance by default at 0.6 kg per applied guest when packaged drinks are already cold and refrigerated and ice is mainly for mixing and serving, or 0.9 kg per applied guest when VERTA ice must also chill them, rounded up to whole 5 kg bags. A lower applied guest count may be used only for a coherent client-volunteered non-drinker or under-18 split after Josh-approved manual review; the requested count, reason/evidence, approval and applied count must be recorded in the Calculator, CRM/Lead Tracker, quote and Booking Summary. The Booking Summary will state the calculated bag count, the $40 supply-and-handling fee, $10 per bag, the compulsory esky count and a separate $40 charge per esky. The esky charge is not included in handling. A2. What the Client supplies Unless expressly included in the Booking Summary, the Client supplies: * the bar or suitable service area; * all alcohol, mixers, garnishes and ice, unless VERTA-supplied ice is expressly itemised in the Booking Summary; * refrigeration or suitable cold storage, unless one or more VERTA-supplied eskies are expressly itemised in the Booking Summary; * glassware and other serving items. A3. Menu limit The Bartender Service includes a maximum of two cocktail selections. Beer, wine, sparkling and mixed-spirit service is available only to the extent supported by the supplied stock, facilities and agreed scope. A4. Stock and service VERTA may provide a shopping and quantity guide, but the Client remains responsible for purchasing sufficient, suitable and lawful stock. Service may be reduced or unavailable if required stock, facilities or equipment are late, missing, warm, unsafe or unsuitable. This does not create a refund where VERTA was ready and able to provide the contracted staff service. A5. Glassware If VERTA glassware is added, the Booking Summary will state the quantity and charge. Missing or broken hired glassware is charged under clause 12 at the approved $15 per-glass amount. A6. Remaining stock Client-supplied stock remains the Client's property. The Client must arrange its safe storage, collection or disposal after service. ________________
Schedule B — BYO / Dry Bar B1. What VERTA supplies VERTA supplies the contracted bar staff, agreed equipment and standard glassware, ice, eskies/insulated cold storage, water jugs, standard service and cleaning consumables, bin bags and clean kitchen cloths, with setup and pack-down. The standard bartending kit for the agreed menu includes a small serrated citrus knife, a washable cutting board and a fitted blade guard for storage and transport. A peeler is brought when the confirmed menu requires it. VERTA supplies a mobile bar where required by the Booking Summary; an agreed existing venue bar may be used instead. Venue access and suitable water, washing and waste facilities remain coordinated with the Client. For water service, Verta supplies jugs for the client’s tap water or can serve water purchased by the client. Verta does not supply bottled water under Dry Bar. B2. What the Client supplies The Client supplies the alcohol, liqueurs, mixers, syrups, juices, purées, garnishes and other selected drinks and ingredients for the agreed menu. VERTA supplies the included ice, eskies and standard service/cleaning supplies described in B1 and manages onsite cold holding; Client fridge access is not required. The exact agreed setup and any accepted written variation remain recorded in the Booking Summary. For water service, Verta supplies jugs for the client’s tap water or can serve water purchased by the client. Verta does not supply bottled water under Dry Bar. B3. Menu limit The BYO / Dry Bar includes a maximum of three cocktail selections. Beer, wine, sparkling and mixed-spirit service is available only to the extent supported by the agreed scope and Client-supplied stock. B4. Stock planning VERTA may provide a shopping and quantity guide, but the Client remains responsible for final purchasing decisions and sufficient, suitable and lawful stock. VERTA cannot guarantee uninterrupted service where Client-supplied stock is insufficient, late, warm, unsafe or unsuitable. B5. Remaining stock Client-supplied alcohol and other stock remain the Client's property. The Client must arrange safe storage, collection or disposal after service. ________________
Schedule C — Bar Tab Service / Minimum Beverage Spend C1. Price structure The Booking Summary must show separately: * the operation or service fee; and * the minimum beverage spend. The minimum beverage spend is a minimum purchase commitment, not a refundable deposit or stored credit. C2. Menu and pricing The Booking Summary identifies the included menu, drink prices or pricing method and opening minimum beverage spend. A Cocktail Bar Tab ordinarily offers up to four standard cocktails or mocktails, the selected single bottled-water type (still or sparkling) and exactly one supporting range selected from beer, wine, sparkling, spirits with standard mixers, or soft drinks. Each additional standard supporting range is charged at $1.50 per guest, subject to a $100 minimum per additional range, and must be stated in the Booking Summary. Premium spirits, additional varieties and speciality products are quoted separately. New Cocktail Bar Tab quotes allow up to four primary cocktail/mocktail choices combined plus one eligible tested matched mocktail associated with a selected marked cocktail. Standalone mocktails use a primary slot. Previously issued two-matched entitlements remain unless changed by customer agreement. Simple Bar Tab follows its accepted non-cocktail house range: one house red, white and sparkling, two alcoholic beers (full-strength and mid-strength), one non-alcoholic beer, up to three selected soft drinks from the approved five-option range and one water type. Prices and accepted quoted ranges remain controlled by the Booking Summary. C3. Consumption records and updates VERTA records drinks supplied against the minimum beverage spend using the stated prices or method. Real-time figures are approximate; final service records govern. Where reasonably practicable, VERTA gives the authorised representative one approximate update at 90% usage. C4. Unused minimum spend If recorded consumption is less than the minimum beverage spend, the difference is not refunded, credited or carried forward. VERTA will not describe the difference as drinks consumed; its records will distinguish actual consumption from the contractual minimum. C5. Reaching the limit When the approved tab is used, the client may add drinks credit or choose guest-paid drinks within the contracted service hours, including a decision on the day. If neither is authorised, hosted service pauses. Guest drinks are charged once and do not also debit the host tab. An agreed guest-paid opening period remains separate from the full quoted host credit. C6. Extensions Only a person named in the Booking Summary may increase the Bar Tab. An extension must be authorised using VERTA's written extension process and accepted by the Event Manager. If an authorised person cannot be reached, VERTA is not required to continue supplying drinks beyond the approved amount. VERTA will not intentionally exceed the approved amount without authorisation. An approved addition of drinks credit is charged at the agreed menu prices with no top-up, administration or same-day extension fee. It does not extend contracted service hours. Additional service time requires separately agreed scope and price. The authorised decision, payment/credit and any payer switch are recorded. Clients may supply agreed stock, including Guinness, extra soft drinks and water; its products and quantities are planned in advance. Client stock is recorded separately and is not charged to the host tab or guests without an explicit agreed charging basis. ________________
Schedule D — All Inclusive Bar D1. Meaning of All Inclusive All Inclusive means the agreed menu is available to the locked guest count during the contracted service period, subject to reasonable stock planning, law and RSA. It does not give any individual an entitlement to unlimited alcohol. D2. Menu The Cocktail All Inclusive Bar ordinarily includes up to four standard cocktails or mocktails, the selected single bottled-water type (still or sparkling) and exactly one supporting range selected from beer, wine, sparkling, spirits with standard mixers, or soft drinks. Each additional standard supporting range is charged at $1.50 per guest, subject to a $100 minimum per additional range, and must be stated in the Booking Summary. Premium spirits, additional varieties and speciality products are quoted separately. New Cocktail All-Inclusive quotes allow up to four primary cocktail/mocktail choices combined plus one eligible tested matched mocktail associated with a selected marked cocktail. Standalone mocktails use a primary slot. Previously issued two-matched entitlements remain unless changed by customer agreement. Simple All-Inclusive uses the agreed non-cocktail house range: one house red, white and sparkling, two alcoholic beers (full-strength and mid-strength), one non-alcoholic beer, up to three selected soft drinks from the approved five-option range and one water type. D3. Guests and duration The price is based on the locked guest count and contracted duration. Additional guests or an approved extension are charged at the rate or calculation method in the Booking Summary and remain subject to operational capacity, venue rules, licensing and RSA. D4. Product availability VERTA may make a reasonably equivalent substitution if a nominated product or ingredient becomes unavailable, while preserving the overall quality and nature of the agreed menu where reasonably possible. D5. Remaining alcohol No takeaway alcohol is included. Unopened or unused VERTA-supplied alcohol and stock remain VERTA's property. ________________
Schedule E — Custom Package E1. Bespoke scope The Booking Summary controls the bespoke inclusions, milestones, approval dates, quantities and pricing. It takes priority over a standard package inclusion only where it clearly identifies the custom treatment of that item. E2. Approvals and supplier commitments Custom fabrication, printing, branding and specialist items may require earlier approval and a separately identified payment once an external order or non-recoverable commitment is approved. Those costs form part of VERTA's reasonable loss if the Client later cancels. E3. Artwork and proofs The Client must check names, dates, spelling, colours, dimensions and artwork before approving a proof. An approval is final for production purposes. VERTA remains responsible for reproducing the approved proof with reasonable care. E4. Permissions The Client confirms it has permission to use and supply all logos, artwork, names and other materials provided for the custom work. The limited permission in clause 18 applies. E5. Lead times and substitutions Supplier lead times and material limitations stated in the Booking Summary form part of the scope. If an approved material becomes unavailable, VERTA will seek approval for a reasonably equivalent substitute where time permits. Application: these terms and the selected schedule apply when accepted with a new booking. Existing confirmed bookings retain their accepted terms unless changed by written agreement. Catering arrangements must be identified in the Booking Summary under clauses 11.5 and 18.1. Wedding coordination schedule — owner-approved commercial scope (VC-389)
For new wedding quotations, VERTA separately states a wedding coordination fee equal to 10% of the quoted core service/operations fee. Prepaid bar credit, travel, parking and separately priced extras are excluded from that basis. An All-Inclusive quotation identifies a reviewed non-beverage service allocation for the calculation. The Booking Summary states the agreed fee and includes it once in the accepted total.
The wedding coordination work includes venue liaison, bar timing around formalities, the final briefing and additional planning communication.
Require one authorised contact on the day. Record their name, contact number and authority in the Booking Summary before the final briefing. Require a professional coordinator only where the event's complexity warrants it, with the reason recorded in the event scope; this is not a blanket wedding-planner requirement.
This schedule applies when included in a new or revised quotation and accepted Booking Summary. It does not add a charge retrospectively to an issued or accepted booking; existing written-variation controls continue to apply. Additional event work and operational requirements remain subject to the agreed scope and normal review.
